                                                                                Minutes of the Meeting

The 3^rd Hostel Committee Meeting for the Academic Year 2025–26 was conducted as per the schedule circulated to all the members on 27.01.2026. The following members were present during the meeting:

• Discussion on hostel safety, security, and hygiene issues
• Review of hostel facilities and infrastructure requirements
• Discussion on food services and timing-related concerns
• Review of student discipline, attendance, and dress code compliance
• Any other points for discussion with the permission of the Chair

Points Discussed and Decisions Disseminated

A. Issues Raised by Hostel Students

1. Safety Concerns (Stray Dogs):

Students reported that the pathway leading to the hostel feels unsafe due to the presence of stray dogs. Incidents of dogs biting clothes and creating disturbances were also reported.

Decision: It was decided to report the issue to the Administrative Officer (AO), and necessary action for the removal of stray dogs will be initiated.

2. Gym Facility:
   Students requested the provision of a gym facility, as the earlier gym has been shifted to the boys’ hostel.
   Decision: The request was noted for further consideration.
3. Dinner Facility for Vegetarian Students:

Vegetarian students requested the provision of sambar every night during dinner due to limited food options.

Decision: The matter will be discussed with the hostel catering authorities.

4. Separate Study Room:

Students requested a separate study room, as roommates tend to sleep early and studying in corridors is uncomfortable due to mosquito issues.
Decision: The request was noted for review.

5. Mosquito Issue (Old Building):

Students residing in the old building reported severe mosquito problems and requested mosquito nets.

Decision: The issue will be conveyed to the AO for necessary action.

6. CCTV near Clothes Drying Area:

Students requested the installation of a CCTV camera near the clothes drying area due to incidents of missing and stolen clothes.

Decision: The request was accepted and will be forwarded to the AO.

7. Out pass Procedure:

Students requested easier access to outpasses, especially for last-minute occasions such as functions or holidays.

Decision: It was clarified that students or parents should approach the respective department directly with valid reasons to obtain outpasses.

8. Sanitary Napkin Vending Machine:

The sanitary napkin vending machine is currently non-functional.
Decision: It was decided to inform the AO for repair or replacement.

9. Hostel Day and Hostel Outing:
   Students requested the organization of a Hostel Day event and a hostel outing.
   Decision: The request was noted for future planning.

10. Coffee Timing:
    Students requested that coffee be provided at 6:30 AM, earlier than the breakfast time.
    Decision: The request will be reviewed with the catering section.

B. Issues Raised by the Hostel Wardens

1. Attendance Delay:
   Students are not reporting on time for attendance.
   Decision: Wardens were instructed to issue a final warning and maintain a record of defaulters for further action.
2. Breakfast Timing:
   Breakfast is available only until 9:30 AM, after which food gets exhausted. Students arriving late are unable to have breakfast.
   Decision: Students were advised to strictly adhere to the prescribed breakfast timing.
3. Dress Code Violations:

Students are not adhering to the prescribed dress code, including during occasions when workers enter hostel rooms.
Decision: Wardens were instructed to strictly enforce the dress code. Students must vacate rooms temporarily when workers are present. Repeated violations should be recorded, warnings issued, and persistent issues reported to the committee for further action.

Conclusion

All concerns raised by the students and wardens were acknowledged. Respective departments have been informed, and necessary actions are either under process or pending initiation. The progress of the discussed issues will be reviewed in the next meeting.
